DLL Nordics is looking for a passionate individual to take on a combined role as Office Coordinator, Project lead and Executive Assistant. Together, we create value for our organization and the environment, working from our beautiful office at the corner of Kungsgatan/Sveavägen.

As our Office Coordinator and Project Lead, you will be the heart of our Nordic offices, ensuring everything runs smoothly and efficiently. While the primary focus of your role will be office coordination and Project lead, you'll also support our Nordic Management Team (NMT) with various administrative tasks. Reporting to the Nordic CFO, you'll supervise one receptionist.

Key Responsibilities:

Office Coordination and Project Lead:

  • Keep our Nordic offices running like clockwork, managing equipment and services.
  • Coordinate and project lead relocations, office moves etc.
  • Build and maintain strong relationships with suppliers to ensure everything is in order.
  • Oversee maintenance, renovations, repairs, and upgrades, making sure our offices are always in top shape.
  • Ensure all equipment, facilities, and logistics are up to our high standards and Global Policies.
  • Work closely with HR and our members to create safe and compliant workplaces.
  • Take on administrative tasks and step in for the receptionist when needed.
  • Lead and coordinate our volunteer and charity programs in the Nordic market.

Executive Assistant Duties:

  • Provide administrative support to the CEO of the Nordics and our Nordic Management Team.
  • Prepare presentations and reports.
  • Assist with HR systems and keep accurate minutes/memos.
  • Organize and book kickoffs, meetings, and events.

Essentials

We are looking for a candidate with previous experience in a similar role, ideally within an international organisation. You should be self-motivated and organized, driven by providing excellent service, and thrive at being structured, efficient, and solution oriented. Your skills in project management related to premises, relocations, office moves, kickoffs, and volunteer and charity programs will be essential.

Strong communication skills in both written and spoken Swedish and English are crucial. You should possess excellent organizational skills and attention to detail, with the ability to handle multiple tasks simultaneously and prioritize your workload effectively. Proficiency in the Microsoft Office suite and a good understanding of systems are required. Prior experience in managing staff is a plus.
